Exhibition opening times
The Event Centre Marquee will be open from 8.00am on Monday, Tuesday and Wednesday if you wish to make appointments to meet with delegates privately before the start of the conference sessions.
You will have access to delegates throughout each day of the conference, however specific times outside of the conference sessions will be as follows:
Sunday: 2.30pm to 3.00pm
Sunday: 7.00pm to 9.00pm - Welcome Reception
Monday: 10.15am to 10.45am
Monday: 1.00pm to 1.45pm
Monday: 3.15pm to 3.45pm
Tuesday: 10.15am to 10.45am
Tuesday: 12.15pm to 1.15pm
Tuesday: 2.45pm to 3.15pm
Tuesday: 4.30pm to 6.30pm - Happy Hour
Wednesday: 10.15am to 10.45am
Wednesday: 12.15pm to 1.15pm

These times may vary slightly as the business program is developed.
It is an expectation that all exhibition booths remain fully operational and open until the official bump-out time commences. Any exhibitors found to be dismantling or packing down their booth prior to the designated time will be in violation of event guidelines and may risk their eligibility to secure a booth at future conferences.

Exhibition booths will be located in the Event Centre Marquee, where the welcome reception, morning and afternoon breaks, and Tuesday happy hour will be hosted. Further opportunities outside of the marquee may become available as the conference gets closer.

Exhibitor manual
An exhibitor manual containing information on bump in and bump out times, furniture and additional product hire will be distributed to exhibitors and sponsors approximately three months prior to the conference.
Exhibitor cancellation
Your cancellation of participation at the conference
All cancellations must be advised in writing directly to Expert Events.
- If you provide notice of cancellation to Expert Events prior to Friday 16 May 2025 a 50% cancellation fee will apply. On or after Friday 16 May 2025, a 100% cancellation fee will apply.
Payment and terms information
Full payment for sponsorship/exhibition packages is due within 30 days of the application being approved and invoice issued. Sponsorship packages will be released for sale if payment is not received at the appropriate timing. Sponsor arrangements will not be confirmed until payment is received.

- MasterCard or Visa – please note sponsorship payments via credit card will incur an additional 2% merchant fee.

Based on feedback received from delegates, the increased interest in the exhibition and to ensure a fair and thorough selection process, all applications for exhibition booths are required to include a short statement outlining why they should be considered for an exhibition booth. This statement will help us understand the value your presence brings to the event and ensure alignment with the conference theme and goals. Any applications that are submitted without a statement, will not be considered.
